Assigned to Maya from the Sales team by round robin
A clear Google Meet invite saves everyone from the usual questions about the time, the link and who is joining. Here is how to build an invite that works the first time and how to avoid the common mistakes.
Create the invite in Calendar
Open Google Calendar, create a new event and give it a title that names the purpose, such as Product walkthrough with Sam. Add the guest emails, choose the date and time, and click the button to add Google Meet video conferencing. Save the event and choose to send the invitation.
What a good invite contains
- A title that says what the meeting is about.
- The start time with the correct time zone.
- One line of description with the goal and anything to prepare.
- The Google Meet link, added automatically.
Share the link another way
Sometimes you need the link outside Calendar. Open the event and copy the joining info, then paste it into an email or chat. Anyone with that link can request to join, so share it only with the people you expect.
Handle time zones
Calendar shows each guest the time in their own zone, but the email text can still confuse people. Write the time with its zone name in the description, for example 3 PM Eastern. If you meet people across continents, the time zone planner shows overlapping working hours so you do not propose midnight.
Permissions and reminders
Under the event options, turn off the permission for guests to modify the event if the time is fixed. Add a reminder, for example one day and ten minutes before. Reminders cut no shows more than any wording in the invite.
Skip the invite writing with a booking page
Invites are fine for one off meetings. When you create them every day, a booking page is faster. The client picks a free time in their own zone, and the event with the video link is created for you. Fewer emails go back and forth, and the right teammate is assigned by round robin when you work in a team. See the features and the team scheduling app page for details.
Quick fixes for common problems
- Guest cannot join: check that they use the exact link and wait for you to admit them.
- Wrong time: confirm the calendar time zone in settings.
- No link in the invite: edit the event and add video conferencing again.
MeetSetup sends confirmations and reminders with the video link already included, so clients have what they need in their inbox.
